The Problem

Running outdoor education sessions is operationally demanding before a single child sets foot in the woods. Session places need managing, payments need collecting, safeguarding information needs gathering, and families need keeping informed - all while the instructor is focused on delivery, not administration.

Beowulf Bushcraft runs multiple distinct session types across different age groups: Family Bushcraft for children aged 3–10, Tweens sessions for older children ready for real knife work and fire craft, and a growing adult and corporate programme. Each has its own schedule, its own pricing, its own capacity, and its own expectations. Before a dedicated platform was in place, the business was held together by a combination of messages, manual payment requests, and follow-up chasing - the kind of administrative overhead that quietly caps how far a small education business can grow.

The brief was clear: build something that handles the operational side reliably, so the business could focus on what it is actually good at. It had to collect payment at the point of booking, gather the right information from each customer upfront, send confirmations and reminders without manual intervention, and give the operator a clean view of who is booked, when, and for what. Critically, it could not add complexity or require ongoing management just to keep it running day to day.

The Approach

In Check Software built a purpose-built booking and operations platform structured around the specific way Beowulf Bushcraft actually works - not a generic booking widget bolted onto a calendar.

Booking and session management

Session capacity, scheduling, and availability are managed centrally through a settings-driven back office. The operator defines sessions by location, date, age group, and capacity; the booking flow presented to customers reflects exactly what is available at that moment. No double-bookings, no manual checks, no places sold that do not exist.

Sessions are grouped by location, so as Beowulf Bushcraft expands to additional sites, each location carries its own schedule and settings without muddying the overall operation. The configuration is designed to be managed by the business owner directly - adding a new session date or adjusting capacity takes seconds, with no developer involvement required.

Stripe payments

Payment is collected at the point of booking via Stripe. Customers pay in full to confirm their place, which eliminates the common pattern of provisional bookings that never convert and the time spent chasing outstanding balances. Refund and cancellation logic is handled within the platform, with policy settings the operator controls rather than a rigid default.

The business receives funds through its Stripe account directly. There is no payment intermediary holding balances or introducing delays, and the transaction record sits alongside the booking record so the operator always has a clear picture of what has been paid and by whom.

Automated email flows

From the moment a booking is confirmed, email automation carries the customer relationship without any manual action required. The confirmation email arrives immediately with booking details and everything the family needs to know before the session. A reminder sequence runs in the days before the session, reducing no-shows and giving parents the practical information - what to wear, what to bring, where to arrive - at the moment it is actually useful.

Post-session emails are also part of the flow, including follow-up messaging and re-booking prompts timed to when a family is most likely to book again. All email templates are managed within the platform, so the operator can update wording, add seasonal information, or adjust timing without touching any code.

Customer management

Every booking creates a customer record. The back office gives the operator a live view of who is coming to each session, what they have paid, and what information they have provided. For a business operating in the outdoor education space, where knowing about allergies, medical conditions, and photo consent is not optional, having this information attached to the booking rather than scattered across messages is significant.

Customer history is retained across bookings, so repeat families are recognised and their information does not need to be re-entered on every visit. The operator can search, filter, and export customer data, and can manage communications or flag records that need attention.

Locations and settings
